Turning parts of CLEO on and off

Why something is missing, and how to hide what you don't use.

CLEO does more than most businesses need, so you choose which parts you see. Settings → Capabilities is the list, and it explains itself at the top: What CLEO does for your business. Turning something off only hides it from your navigationnothing is ever deleted, and anything already stored stays here, ready to switch back on.

This is the answer to the most common "where has it gone?" question: nothing has gone.

Four states

Each area shows what it is right now:

StateMeaning
Always onPart of CLEO itself. No switch, because CLEO wouldn't work without it
OnIn your menu
OffHidden from your menu; everything recorded is kept
UnavailableIt needs something else turned on first — CLEO names what

An off area says what's waiting there — your 14 bookings are still here — with Data preserved beside it. When there's nothing stored yet it says so instead: Hidden from your navigation. Nothing is stored here yet.

What's always on

Home, Work, and the Settings screens themselves — your business details, this page, your kinds of work, your team, CLEO usage and Scheduling. These have no switch at all.

Everything else you choose.

What you can switch

  • Ask CLEO — on to begin with. Switch it off and the assistant disappears from every screen.
  • Customers — Leads, Clients, Pipeline and Top customers, each on to begin with.
  • Requests and Calendar — on to begin with.
  • Bookings — off to begin with. Turning on bookings covers it in full.
  • Analytics — off to begin with, with Website traffic beneath it.
  • Your website — the areas for a business whose website CLEO looks after.

Things that depend on other things

A few areas need another one first. When the thing they need is off, they read Unavailable with a note naming what to turn on first:

  • Pipeline needs Leads.
  • Bookings needs Calendar.
  • Website traffic needs Analytics.
  • The website areas build on each other in the same way.

Turning something off, and on again

Turn off and Turn on are the same button in two states. Off is instant, reversible, and safe:

  • The area leaves your menu, on the computer and on your phone alike.
  • Everything recorded in it stays exactly as it was.
  • Turn it back on and it returns with its records intact — appointments, hours, payments, requests, all of it.

An area that's on shows Open beside it, which is often the quickest way to reach a screen you rarely visit. A few areas have no screen of their own: On. Reached from inside the client or work item it belongs to.

What it means for Ask CLEO

CLEO reads only what's switched on. With Bookings off, it won't answer about appointments or free times and can't prepare one; with Requests off, the same for requests; recording how a lead ended needs Pipeline.

CLEO says what it can't see rather than guessing, and the ability comes straight back when you switch that area on. And if Ask CLEO itself is off, it isn't there — turn it back on here.

"Why is this missing?" — how to check

  1. Open Settings → Capabilities.
  2. Find the area in its group.
  3. Read its state: Off means press Turn on. Unavailable means turn on the thing it names first, then come back.

That's the whole switchboard. If an area you turned on still looks empty, it's usually waiting for something you record rather than something you switch.
