Recording what happened
Completed, no-show or cancelled, and why CLEO never assumes.
When an appointment's time has passed, CLEO knows one thing: the time has gone by. Whether it happened, and who was there, is yours to record — and it takes one tap.
The three outcomes
| Outcome | What it records |
|---|---|
| Completed | It happened |
| No-show | The customer didn't turn up |
| Cancelled | It isn't happening, with an optional reason |
Where to record one
- On Bookings, under Awaiting an outcome — every appointment whose time has passed with nothing recorded, each with the three buttons.
- On the appointment itself, in its Outcome section, where a cancellation can carry a Reason for cancellation.
- On Home, as a Quick answer, in one tap.
Home asks the question in plainer words than the Bookings screen, for the same three outcomes:
| On Home | On Bookings and the appointment |
|---|---|
| It happened | Completed |
| Did not turn up | No-show |
| Cancelled | Cancelled |
What you can record, and when
Cancelled is available at any time, before or after the appointment.
Completed and No-show appear only once the appointment has begun. Before that, CLEO says so plainly: That appointment has not started yet. You can cancel it, but it cannot be completed or marked a no-show until it begins.
Outcomes are final
Once recorded, an outcome stands. CLEO confirms it with Recorded. It stays in your booking history.
— and on the appointment itself, Recorded. Nothing was deleted — it stays in your history.
There is no undo. If an appointment was cancelled and the customer comes back, book a new one; the cancelled appointment stays as the record of what happened.
If someone has already recorded an outcome, CLEO tells you rather than recording a second one.
What happens if you don't record one
The appointment doesn't chase you. It appears in three quiet places:
- under Awaiting an outcome on Bookings;
- as something CLEO noticed, with the fact that it ended and nothing was recorded;
- as a Quick answer on Home, with the three taps.
All three clear the moment you answer, wherever you answer it.
Why it matters later
Recorded outcomes are what CLEO reads afterwards:
- Completed appointments build a customer's usual return rhythm. After three, CLEO can tell when someone is overdue for their next visit.
- No-shows are counted: two or more in ninety days is something CLEO points out about that customer.
- Cancellations are neither — a cancelled appointment doesn't count as a visit or as a no-show.
Recording an outcome, moving an appointment, planning a follow-up: each of these can also be asked of CLEO in your own words, and it prepares the change for you to confirm.
